Photo Specification

To avoid any incorrectness in photographs, we recommend you to take the photograph service at our centre at a nominal price.

  1. Change in Photo Specification
  2. The photograph must be in color.
  3. It should be without border.
  4. It should have a white or light colored background only so that features are distinguishable and in contrast against the background. It should have a close up of your head and top of your shoulders so that your face takes up 70-80% of the photograph.
  5. It should be in sharp focus and clear.
  6. It should be of high quality with no ink marks and creases.
  7. The photograph must show you looking directly at the camera.
  8. It should be 5 cm X 5 cm. It should show your skin tone naturally.
  9. It should have appropriate brightness and contrast.
  10. The photograph should be a recent one not more than 3 months old.
  11. Photograph can be taken with headgear, The main characteristics of the face must be apparent from the photograph. Chin, nose, eyes and eyebrows must not be covered; the forehead should be uncovered to the extent that the shape of the face is apparent.
  12. It should be without hat/cap.
  13. It should be without the applicant's hair tucked behind his/her ears.
  14. The photograph must show facing square on to the camera, not looking over the shoulder or tilted, and showing both edges of the face clearly.
  15. It should be taken with uniform lighting and not show shadows or flash reflections on the face and no red eye.
  16. If wearing glasses the photograph must show the eyes clearly with no flash reflection off the glasses and no tinted lenses (if possible, avoid heavy frames – lighter framed glasses to be worn). Make sure the frame does not cover any part of the eye.
  17. The photograph must only be visible of applicant (no toys, chair, etc.) looking at the camera with a neutral expression and mouth closed.
  18. The photograph should not have any staple marks. Scanned & color photocopies will not be accepted.

Documents Required

  1. Applicant who holds Visit Pass (Temporary Employment /Employment/ Dependant Residence and student)
    1. Duly Filled EAP 1 Online Application Form and Personal Particular Form
    2. Photocopy of the old passport (first two pages, Valid Employment / Dependant / Student / Residence visa page and the last page)
    3. Four coloured passport size photograph with white colour background.
    4. Original passport
    5. Passport only can be renewed if validity less than 1 year or pages less than 3 only.
  2. Applicant who holds Social ( Spouse) Visa ( Married to Malaysian )
    1. Duly Filled EAP 1 Online Application Form and Personal Particular Form
    2. Photocopy of the old passport (first two pages, visa page and the last page)
    3. IC copy of spouse and original marriage certificate if spouse name was included in passport.
    4. Four coloured passport size photograph with white colour background.
    5. If spouse name was not included in passport, original Marriage Certificate (Which issued in Malaysia) first needs to be attested by Ministry of Foreign Affairs Putrajaya. Please take note that if the Marriage Certificate is in Malay, it first needs to be translated to English (by official translator) and the translated copy needs to be attested by Ministry of Foreign Affairs Putrajaya
    6. Original passport
    7. Passport only can be renewed if validity less than 1 year or pages less than 3 only.
  3. All applicant who are married must add their spouse name in their passport and need to produce below documents accordingly,
    1. If applicant Married in Malaysia : - Marriage certificate in English need to attest/stamp by Ministry of Foreign Affairs, Putrajaya and spouse IC/Passport copies.
    2. If applicant Married in India : - Marriage certificate in English along with Spouse passport copies (first page and last page) In case marriage certificate is not readily available, applicant can give an affidavit stating the date /place of marriage and spouse name with correct spellings in English and request for addition of spouse name.
    3. If applicant Married outside Malaysia and India - Marriage certificate in English need to be stamp by respected embassy and Spouse Passport / IC copies

    As per Indian government new guidelines, Initials are not allowed in the Indian passport details (given name, surname, father name, mother name and spouse name), therefor for applicants who have initial in the passport need to give the full name along with the proof.

  4. Applicant who holds Social Visa
    1. Duly Filled EAP 1 Online Application Form and Personal Particular Form
    2. Photocopy of the old passport (first two pages, visa page and the last page)
    3. IC copy (if sponsor Malaysia citizen) / passport copy- first page, visa page and last page (if sponsor Indian citizen) and sponsor letter.
    4. Four coloured passport size photograph with white colour background.
    5. Original passport
    6. Passport only can be renewed if validity less than 1 year or pages less than 3 only.
  5. Noted

    For Change of signature, Change of address, adding spouse name or change any details in the passport need to enclose a letter.

    For passport renewal under 1st Malaysia visa need to add supporting document

    1. Calling visa
    2. Levy Receipt
    3. Company letter ( English) mentioning the applicant working for that company.

Please note that the fees / processing charge are non-refundable and non-transferable

The fee can only be paid in cash.

Note: 

1.   A service fee of RM 9.50/- would be charged by the 'Passport and Other Consular Services Application Centre' (PCSAC) over and above mentioned fees in case of application being submitted at the PCSAC.
2.   RM 9 will be charged as ICWF fee in addition to above mentioned fee.
3. Applicants desiring Tatkaal (Emergency) Passport Services may submit their completed   application along with required documents directly at the High Commission of India between 0930 hrs to 1200 hrs on any working days.

Processing Time

Please be advised that the estimated processing times are mentioned below. However, the time taken to process an application also depends on the following factors such as; the city in which application was submitted, the city / country where the previous / old passport was issued, your current visa status, etc. The estimated processing time mentioned below does not include the time that the courier company will take to deliver the passport. Please keep in mind that incomplete applications will lead to a delay in the processing of an application, and all applicant(s) are requested to comply with any changes that may occur during this time.

You are requested to make your travel arrangements only after receiving relevant service. BLS/HCI will not be liable for any claims of inconvenience/ penalties, applicant need to make changes in their travel plans owing to the delays and/or any inconvenience caused due to any rejections.

Processing times mentioned do not include transit time by courier from the Collection Centre. Incomplete applications will lead to an increase in processing time and applicants will need to comply with any changes in the procedure that may occur during this time. BLS/HCI would not be responsible for any inconvenience/problems faced due to any rejections or delays.

For lost/damaged passport a minimum of 2 weeks in most cases. However in some cases it could take more time.
